Figuring out how to craft a proposal in response to an RFP filled with 50+ pages of technical requirements can be challenging — I know because I’ve had to do it countless times during my 17-year career as a proposal writer and marketer in the architecture and engineering space.

That’s why I created this easy-to-use project management plan template: to bridge the gap between an RFP’s endless list of requirements and writing a proposal that not only fulfills all those requirements but positions my firm as the strongest bid. This is the template I’ve personally used to plan my approach to writing an RFP response for dozens of RFPs.

It’s a simple matrix you can copy and paste into your own Word or Google doc and fill in with your own information. It includes:

  • Key information tracker. Capture client contacts, project details, deadlines, and formatting and submission requirements.
  • Proposal outline. Document RFP instructions section by section alongside your own notes, questions, and preliminary response strategy
  • Evaluation criteria scorecard. Log every scoring category and point value so your team always knows what the client is prioritizing
  • Proposal schedule calendar. Map out draft milestones, internal deadlines, and the final submission date to keep your team on track.
