How Willmeng Construction used OpenAsset to build a connected foundation for scalable growth

Willmeng Construction is a Phoenix-based, 100% employee-owned general contractor that’s been delivering building excellence since 1977. Built on a people-first philosophy, Willmeng exists to help employees and clients “build a genuine place of purpose,” combining a strong culture with a commitment to quality, collaboration, and long-term partnerships.
The challenge
As Willmeng Construction grew from fewer than 100 employees to nearly 500, its marketing team felt the strain of disconnected systems and scattered information.
Assets lived across a shared drive that was slow, unstructured, and dependent on tribal knowledge. Finding the right image, project, or proposal content took time, and sometimes it wasn’t found at all. Photography was inconsistently tracked, proposal content was stored by year in static PDFs, and there were two conflicting InDesign templates.
These inefficiencies impacted more than just marketing. Collaboration across business development, operations, and other departments was limited, and valuable institutional knowledge wasn’t easily accessible, which led to the marketing team taking on a lot of extra work.
The team knew there had to be a better way. With a goal to work smarter, not harder, Willmeng set out to create a centralized system that could support its growth, improve consistency, and eliminate wasted time.
The solution
Led by Director of Marketing Information Systems Debra Pohmajevich, Willmeng implemented OpenAsset, which integrated with Unanet CRM, creating a linked single source of truth for people, projects, and marketing data.
From the start, the focus was on building structured, scalable processes and bringing in as much existing data as possible. With 20 to 30 mappings between OpenAsset and Unanet, Willmeng established one of the most robust integrations in its space, with project and people data remaining consistent and connected across systems.
OpenAsset quickly became the central hub for marketing operations:
- Visual search allows teams to instantly locate images and assets across projects.
- InDesign templates and text library–based templates standardize resumes, project sheets, and proposals.
- Linked documents ensure files stay connected across templates, eliminating broken links.
- Text library serves as a living repository of proposal content, photography, and marketing materials, enabling faster, more consistent collateral creation.
- Multi-page PDF uploads make it easy to share collateral with clients via secure links.
- Activity reports provide visibility into system adoption and usage.
The impact extends beyond marketing. Teams across the organization now use OpenAsset to support recruiting, learning & development, executive presentations, and business development efforts. Basic user licenses make it easy for employees to search and access content without complexity.
With OpenAsset and Unanet fully connected, Willmeng has created a foundation where data flows seamlessly and teams can collaborate more effectively.

With a connected system in place, Willmeng transformed how its teams work day-to-day.
Content that once took hours to find is now accessible in seconds. Proposal workflows that were manual and time-consuming are now streamlined and repeatable. The speed of gathering content has increased tenfold, allowing teams to focus on strategy and storytelling instead of searching and formatting.

The time savings are significant. Willmeng set out to give every team member 30 minutes back each day and exceeded that goal.
“For our pursuits team, 30+ hours per proposal was given back to our team last year, which equates to almost 2,000 hours, which is a conservative number.”
