Editing Information and Keywords for Multiple Uploaded Files

This article shows you how to edit file information and keywords for multiple files at once using the Batch Editor

Using the Batch Editor, you can quickly edit file information and keywords for multiple files at once. This can save time, for example if you realize a large number of images need an additional keyword.

Selecting Files and Entering the Batch Editor

You can use the Batch Editor to edit selections of files from multiple searches and from different projects or albums. To go started, add a group of images to your selection.

Then click the 'Edit' icon from the Action Buttons to the right of your screen to open the Batch Editor.

Tip: you can use Image Similarity Search as part of this workflow. For example, if you wanted to quickly add keywords to all images featuring office interiors, you could search for visually similar images, add them to your selection and select 'Edit'. Learn more about this workflow here.

Using the Batch Editor

When you open the Batch Editor, all images from your selection will be highlighted blue. You can click the image thumbnails to deselect them.

Editing File Information

The metadata for your files is accessible within the 'File Info' tab. If you have the relevant permissions, fields within this tab can be edited. Editable fields are highlighted when you rollover them and any mistakes can be corrected using the ‘Undo’ button.

For fields when the value is the same for all selected files, the value will be displayed. These can be edited as you would normally edit File Information.

For fields where the value is different for selected files, the field will display 'Multiple Values'.

If you select this field, the existing values will be displayed alongside the count of the files to which they are applied. You can either apply an existing value or a new value to all selected files.

Editing File Keywords

The 'Keywords' tab is divided between 'Attached Keywords' and 'Available Keywords'.

Attached Keywords are the tags applied to some or all of your selected files. They can describe the contents of the images, such as the building type and materials, as well as attributes of the files, like whether they are photos or plans.

Available Keywords are all the keywords within your firm's taxonomy. The keywords are grouped by type. To help you to easily identify any useful tags that are missing from your images, tags that are applied to some of the images in your selection are highlighted pale green, whereas those applied to all images are highlighted bold green.

Remove a Keyword from your selected Assets

When you rollover an attached keyword, it will flash red. Click the keyword to remove it from all your selected assets.

Creating a Keyword

As well as creating Keywords through the Taxonomy manager, you can create Keywords on the bulk edit page in two different ways. Note that you will need Keyword Permissions to create a new Keyword in either of these ways. The first way to do this is via the Keyword search bar. If the Keyword you are searching for doesn't exist, you will be prompted to create this Keyword. You will then need to choose a Keyword category to assign the Keyword to. Once created, this Keyword will be auto-assigned to the Files you are on.

The second way to create a Keyword is by clicking the + icon next to the relevant Keyword category. Once a Keyword has been created in this way, you will need to apply it to the Files as outlined in the section below.

Apply a Keyword to your selected Assets

To tag your selection of images with a keyword, select it from the 'Available Keywords' menu. You can browse for specific keywords using the Search menu. Keywords will appear green when they are selected.

To apply a keyword that is attached to some of the files in your selection to all files, rollover the keyword so that it displays 'Add to all' and click the keyword. A message will popup requesting you to 'Confirm Attachment'.
